Privacy Policy

This Privacy Policy explains how TejoTime (“TejoTime,” “we,” “us”) collects, uses, shares, and protects information when you use our website, our owner and staff apps, and the public booking pages we host for businesses. Please read it alongside our Terms of Service.

1. Who uses TejoTime, and who controls your data

TejoTime serves two groups of people, and the role we play is different for each.

Business users are the salons, barbershops, nail studios, spas, med spas, massage practices, physical therapy clinics, tattoo studios, and pet-grooming businesses that sign up for an account. For information about a business user’s own account, we act as the controller of that information and this policy applies directly.

Clients of those businesses are the people who book an appointment or join a walk-in waitlist through a business’s TejoTime booking page. For that information, the business is the controller and TejoTime acts as a service provider processing information on that business’s instructions. If you are a client and want your information corrected or deleted, contact the business you booked with first; we will support that business in responding.

TejoTime is a tool for businesses. It is not directed at children under 13.

2. Information we collect

We collect the following categories of information:

  • Account information — the phone number and password used to sign in, plus the name, role, and business details you enter when you create or join a business account.
  • Business content — your business name, address, hours, services, prices, photos, staff names and photos, and anything else you publish to your booking page.
  • Client records you add — client names, phone numbers, appointment and visit history, preferences, and any notes you or your team choose to record.
  • Booking information from clients — the name, phone number, service, and appointment or waitlist details a client provides when they book through a business’s booking page.
  • Device and technical information — sign-in tokens stored securely on your device, app or browser version, and the basic device and network information needed to operate and secure the service.
  • Photos you choose to upload — we access your photo library only at the moment you pick an image. We never access your camera or photo library in the background.
  • Support communications — the contents of emails and messages you send us.

3. What we do not collect

We do not collect precise GPS location, your device contacts, or your SMS messages.

We do not collect or store payment card numbers. TejoTime does not process payments for appointments; clients pay the business directly. If we introduce paid subscription billing, payment details will be handled by a third-party payment processor and this policy will be updated before that happens.

4. How we use information

We use the information described above to:

  • Create your account and sign you in securely.
  • Operate your calendar, appointments, optional walk-in waitlist, and client records.
  • Publish and serve your public booking page.
  • Send booking confirmations, appointment reminders, and operational messages about your business or booking.
  • Provide customer support and help set up your account during the U.S. pilot.
  • Maintain, troubleshoot, secure, and improve the service, and prevent fraud and abuse.
  • Comply with legal obligations and enforce our Terms of Service.

5. Text messages (SMS) and email

Where enabled for a business, TejoTime sends transactional text messages tied to a specific booking or waitlist visit — for example, confirming that you have joined a waitlist, letting you know your wait is almost over, and letting you know it is your turn. These are not marketing messages, and we do not send recurring or promotional texts.

You opt in by checking the SMS box on a business’s TejoTime page when you book an appointment or join a waitlist. Your number identifies the visit; we only text it if that box is checked. You can finish a booking or waitlist join without agreeing to texts.

Message frequency depends on your booking or waitlist activity and is typically no more than four messages per visit. Message and data rates may apply.

Reply STOP to any message to stop receiving texts from TejoTime, or ask the business to remove you. Reply HELP, or contact us at support@tejotime.com or +1 (239) 506-1324, for help. Carriers are not liable for delayed or undelivered messages.

We do not sell, rent, or share your mobile phone number or your text-message opt-in status with third parties or affiliates for their own marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Businesses are responsible for having an appropriate basis to contact their own clients.

6. How we share information

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. We share information only in these situations:

  • Service providers — hosting, database, file storage, email, and messaging providers that operate the service on our behalf under written contracts limiting their use of the information.
  • People you invite — staff and providers you add to your business account can see the business content and client records their role allows.
  • Your published booking page — the business name, address, hours, services, prices, photos, and staff you choose to publish are public by design.
  • Legal reasons — when required by law, subpoena, or to protect the rights, safety, or property of TejoTime, our users, or the public.
  • Business transfers — if TejoTime is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction; we will notify you before your information becomes subject to a different policy.

7. How long we keep information

We keep account and business data for as long as the account is active. You can ask us to delete a business account or your personal account by emailing support@tejotime.com.

After a deletion request we remove or de-identify the data within a reasonable period, except where we must keep records to comply with law, resolve disputes, or enforce our agreements. Backups are purged on a rolling schedule.

8. Security

Passwords are stored using one-way hashing. Session tokens are held in the device secure store. Data is transmitted over encrypted connections, and access to production systems is limited to personnel who need it.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you as required by applicable law.

9. Your privacy rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, request that we correct it, request that we delete it, request a portable copy, and appeal a decision we make about your request. Residents of California, Colorado, Connecticut, Virginia, and other states with comprehensive privacy laws have these rights under those laws.

Because we do not sell personal information or share it for cross-context behavioral advertising, there is nothing to opt out of in those categories.

To exercise a right, email support@tejotime.com from the address or phone number associated with your account. We will verify your request before acting on it, and we will not discriminate against you for making one. If you are a client of a business that uses TejoTime, send your request to that business and we will assist them.

10. Responsibilities of businesses using TejoTime

If you use TejoTime to run your business, you are responsible for the client information you enter and for having an appropriate basis to collect and store it. That includes client notes and any photographs you upload.

TejoTime is a scheduling and client-management tool. It is not designed or offered as a system for storing medical records, insurance information, or other regulated health data, and it should not be used for that purpose.

11. Children’s privacy

TejoTime is intended for business users and their adult clients. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, email support@tejotime.com and we will delete it.

Where a business books appointments for a minor, the business is responsible for obtaining any consent required from a parent or guardian.

12. Where your information is processed

TejoTime is operated for the United States market, and information may be stored and processed in the United States and in other countries where our service providers operate. Those countries may have different data protection rules than your own. We use contractual protections with our providers to safeguard information wherever it is processed.

13. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above, and we will provide additional notice for material changes. Continuing to use TejoTime after an update means you accept the revised policy.
